Exhibitor Information

This is an EWTA and APA MEMBERS-ONLY event. If you are not a member, please contact ewta@engineeredwood.org for more information before you register. Note: Shared registrations are not accepted and cannot be accommodated.

EWTA member companies are required to be an exhibitor or sponsor (excluding sporting events) in order to participate and have representatives attend APA’s Annual Meeting.


Sponsor, Exhibitor and Attendee Registration Details

Once your company has signed up to be a sponsor or exhibitor and send attendees to the APA Annual Meeting/EWTA Info Fair, an email will be sent to the main contact based on the registration information provided. The email, from Emily Houg at emilyh@apawood.org, will provide registration details on how to add company attendees.


Sponsorship Complimentary Registration to APA Annual Meeting

Sponsor options, based on the level, and excluding golf, coot shoot and pickleball, include one or more complimentary APA meeting attendee registration. Contact Emily at emilyh@apawood.org for details on how to register your staff using a special code for complimentary registration. Note that additional staff over the complimentary number must register individually at the EWTA member registration fee.


Booth Layout Details

The format/layout of the exhibit booths are pending. Once the overall layout is finalized, Emily will reach out to registered exhibitors to provide booth location options. We request that companies make their selection within 48 hours of being notified. Otherwise, a booth location may be selected for you.


8′ x 10′ Booth Includes:

  • (2) Side chairs
  • Wi-fi

Set Up and Tear Down Times

SET UP:
Saturday, September 28 from Noon – 4:30 pm.
All booths must be set up and ready for the Welcome Reception and Info Fair Event by 4:30 pm on Saturday.

TEAR DOWN:
Monday, September 30 from 6:45-10:00 pm. (Note: the Chairman’s dinner is from 7-9 p.m.)
All booths must be taken down by 10:00 pm Monday, or late fees will apply.

Proof of Insurance

This is MANDATORY and required before an exhibitor is allowed onsite. You must name both APA and EWTA as additional insured. Send all proofs of insurance to Emily at emilyh@apawood.org.

Due by September 1, 2024.

*Note: Proof of Insurance is required before being allowed to make a booth selection.


Payment Options

Payment, in U.S. currency, is required by September 25, 2024, from all exhibitors. Booth set-up will not be allowed on Saturday, September 28 if payment is not yet received.

Confirmations, Invoices and Receipts

Stay informed! Input the attendee’s email address when registering online to ensure the attendee receives all conference communications.

Confirmations are sent by email and will include the attendee(s) invoice/receipts. Check your ‘Junk Mail’ folder, as some systems can flag this as email spam. 

To include additional recipients to receive a copy of the invoice/receipts, add their email in the ‘cc’ section of the personal information page when registering online.


Shipping Information

If you choose to not use EWTA’s preferred method of shipping through Info Fair’s decorator (details coming soon), you will be solely responsible for your arrangements to and from the hotel.

EWTA will not be responsible for accepting shipments or organizing pick-ups with shipping companies such as FedEx, UPS, etc. If you choose to ship directly to the hotel through one of these companies, it will be your responsibility to get your shipment from the hotel. All shipping and storage fees the hotel charges will be your responsibility as an exhibitor during Info Fair.


Refund and Cancellation Policy

All Sponsorship pledges and Exhibit Booth registrations are final and non-refundable. There are no refunds processed once the registration is completed.

All annual meeting attendee registrations are subject to a non-refundable $100 processing fee. Cancellations made in writing, prior to September 6, 2024, will receive a refund of the registration fee minus a $100 processing fee. Cancellations after September 6, 2024 are non-refundable.


Exhibitor and Attendee No-Shows

No-shows are subject to full registration, exhibitor and sponsorship payment.


COVID Policy

By completing your registration for this event, you are acknowledging that a risk of exposure to COVID-19 exists in any public place where people are present. By attending this event, you and any guests voluntarily assume all risks related to exposure to COVID-19. We ask all attendees to follow national, state and local guidance from health officials to minimize risk for themselves and other attendees at this conference.

APA/EWTA will be collecting the full amount of the event costs from attendees at the time of registration. Registrants may transfer their registration to a colleague at any time. Should you cancel your registration past the cancellation date (September 6, 2024) or circumstances arise that prevent you from attending, no refunds will be given after the event registration deadline.
